Waiting Lists

If you wish to construct a powerful Waiting List in your center and track the success of your marketing sources, you may do so easily in Procare v10.

 

If you wish to construct a powerful Waiting List in your center and track the success of your marketing sources, you may do so easily in Procare v10.

First define your marketing sources in Family Tracking: (Procare Home>Configuration>System>Tracking Items & User Defined> Global Tracking Items)

 

Set up the heading marketing, mark the Group Type as Single and then enter all the marketing sources you use. Make sure to mark the tracking as Active and be sure to expose that category to the school or regions you wish to view these options. If you are a single site location, expose to your center

These tracking codes will show up on the parent tracking. Make sure to apply the Marketing Referral in which the newly enrolled parent discovered your center. This will allow you to gauge the success of your advertising dollars.

Enrollment Statuses (Procare Home>Configuration>System>Data Management>Status & Relationships>Child’s Enrollment Status)

Next be sure to create the various types of dates you wish to track for parent enrollment. Some examples are as follows:

Applying Waiting List Tracking in Family Data

Then when a new child goes on the waiting list, you will set up the parent and child information.

Above the child section at the bottom of the screen, you can apply necessary dates to their various Enrollment Statuses (icon found above the child info)

You can set the 1st Inquiry, date the child went on the Waiting List and the Date the Child will be enrolled.

You can then run queries of this information thru the select criteria to review accounts with multiple children, accounts needing full or part-time care or accounts that wish to be in a particular classroom.

dinkann - Thanks for your question. At the moment the two best reports would be:

1. Child Enrollment > Enrollment Status Summary. Enter an as of date. When the report comes up on screen dbl-click an enrollment status like "Waiting List" for more detail.

2. Filtered Reports > Child: Birthday - Age Summary. Filter by enrollment status "Waiting List" and select an As Of date. You can sort by child's name, youngest to oldest, primary class, etc.

It has also been added to our suggestion list to add a report specifically designed for waiting list management.

Another idea is to use the Filter at the main screen of Family Data to select only children with a particular status (like "Waiting List") as of a specified date. You can also filter by the Primary Class you have requested.

Our center is always at capacity and have a very long wait list. We rely on the waitlist module in v9. How, in v10, do you run a search query on enrollment status "waitlist" based on a particular age range, as of a specified date, sorted by application date?
