I have completed the set up for using the Quick Book Link in porcare. It worked once and now when I try to import in QB it tells me 'please choose a customer when using an accounts receivable account as a line item'.

I am not sure what to do about that.

Would appreciate the help.

Ksudol - Thanks for your question. In Quickbooks you must create a QuickBooks Customer that consists of the word "Procare" followed by a dash and the abbreviation for each school you have configured. For example, if you have 2 schools, with School Codes of S1 and S2, the QuickBooks Customer names would be Procare-S1 and Procare-S2. These customer names are specified in the export file to indicate the data is from a specific school in Procare.

With the QuickBooks link, would I export after each deposit in Procare so that I can reconcile deposit amounts to the bank?

Steve,

Quickbooks link is a set of Journal entries that summarize what happened in Procare for the period of time you specified. There are no individual deposit transactions transmitted, just the fact that the bank account went up or down by $x amount for the period of the report.
If you ran QBlink every day, you would get the amount the bank account changed for that day, even if you had 3 deposit reports for the day.
